Back to School- Do you know your Resources?

September 5, 2012

Fall is just around the corner and cooler temperatures are on the horizon. This is the time when school is starting and everyone is getting back into their routines. With that being said, it is also a busy time for the Meetings World. Are you in full swing with the same ol’ same ol’? Or, are you actively searching to make your next meeting a step better than the last? Maybe your vision is a “modern look” or maybe it’s a better, faster registration process. Regardless of what your goal is, just as seasons changes, so can your next meeting.

When choosing a vendor for whatever your needs may be, it is an important decision, and not one to take lightly—the choices you make now can affect the outcome and success of your next meeting. Take advantage of the vast resources available to you. There are a variety of materials designed to help you when choosing your vendors. Check your referrals; reach out to your trusted colleagues in the industry. Ask questions so you feel confident that you made the right choice. Taking the time to explore available resources and gain some important insight that will benefit your team on site!

A great place to network might be to attend the annual PCMA conference. At this event you will be surrounded by Professionals who are responsible for the development, organization, site selection and management of meetings. You might also connect with suppliers whose organization is engaged in providing products and services related to the conduct and operation of meetings, conventions, exhibits, and seminars. This could be the opportunity you have been waiting for and next great handshake that leads to your trusted partnership.

Once the choice has been established, you can truly create the partnerships that become extensions of your team.

Here is a list of techniques we have seen on site in 2012 that have enhanced the guest experience at meetings!

  1. Customer service training for your staff so they are prepared to give that high level of customer service!!
  2. Providing attendees the information about your mobile app for their IPhone or Android by email prior to coming on site.
  3. Virtual display boards onsite for updates re daily meetings and events.
  4. Displaying the information about the following year’s meeting on site with banners prominently located at information desks.
  5. Walking INFO booth/”Ask Me”© ® directionals in your Lobby and Registration areas.

To sum up, it is important to know your resources and find trusted partners for your next meeting. As the seasons change, so does the opportunity to strengthen your trusted relationships and embrace new ones,  keeping a fresh eye to what might enhance your next meeting.
